In the fall of 2015, WENT implemented Surgimate, enabling all information to be shared electronically across the practice, including the ASC - where staff can access all the necessary data, including insurance information and financial benefits. All paperwork and calendars are now automated, and out-of-pocket cost estimations are generated with Surgimate, eliminating the need for an additional system. Since scheduling surgeries takes a fraction of the time it used to, the wait time for patients to be scheduled has been drastically reduced, and there is no longer a backlog. Furthermore, last minute cancellation slots can be easily filled using the “move up” list, ensuring all block time is maximized.
Willamette ENT (WENT) owns their own ASC, just downstairs from the office - yet information about each surgery was being transferred via fax. In order to generate out-of-pocket costs for the patient, staff was using an outdated system. Additionally, each surgeon had their own paper calendar in which surgeries were scheduled, all tracking was done manually, and 12-16 forms needed to be completed per surgery - many by hand. This time-consuming process caused a backlog, which meant that patients would wait a long time between seeing the surgeon and actually having their surgery scheduled. WENT wanted to find a way to improve communication with their ASC, efficiently etermine out-of-pocket costs, and reduce manual paperwork.
