CHALLENGES
The schedulers at Advanced Orthopedics of Oklahoma (AOOO) were using multiple systems to schedule surgeries. They needed to synchronize calendars in three different systems and manually type in data to generate forms. There was no way to track data before surgery or run reports on surgical data for management. As a high-volume practice – with over 700 surgeries per month – the schedulers needed to clock many hours of overtime to keep up with their workload. This was very costly for CSO, and management sought out a way to increase their efficiency.

In 2015, AOOO implemented Surgimate to automate their scheduling process. Now, schedulers use predefined templates to load surgery data in seconds, and then generate all the paperwork they need with a few clicks. Staff use the follow-up report to track patients who were interested in surgery but did not schedule while at the office, so they can reach out to them to finalize the booking. Overtime has been drastically reduced, and surgical volume grew by 12% within the first year of implementation.
