CHALLENGES

Peninsula Orthopaedic Associates (POA) had a decentralized, manual scheduling process. Each case took almost four hours to schedule and coordinate, and even longer for more complex procedures. This was largely due to the fact that staff were using five different systems to manage surgeries, and these systems were not synchronized or integrated. There was no easy way for staff to share information about each surgery or for surgeons to access the information they needed about each case.

POA implemented a centralized scheduling process with Surgimate, configuring the system to work within the needs of their workflow. Surgimate is now their destination platform for coordinating surgeries and managers can assign tasks to the appropriate staff and teams, track productivity, and ensure all items are in place prior to surgery.

Surgimate has drastically increased efficiency by generating customized forms automatically, syncing one electronic calendar across the practice for all surgeons, and automating presurgery tracking. Using an API with athenahealth, data is seamlessly shared with Surgimate. Additionally, surgery information from the Surgimate platform syncs with their ASC’s Surgical Information Systems (SIS) in real-time.

Surgimate has not only drastically reduced the time it takes to schedule surgeries, but also significantly reduced errors from manual data entry. Now that all information about surgeries is stored in one location, there is full transparency between departments, surgeons, and management.
